Who we are

Luthen builds business software that does the work, including Shield, which automates accounts payable, invoicing, collections and bank reconciliation. Luthen is a Hemnette company. In this policy, "Luthen", "we" and "us" mean Luthen and Hemnette.

We work with businesses in Australia, Canada and the United Kingdom, and we handle personal information in line with the Australian Privacy Principles, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and the UK General Data Protection Regulation.

What this policy covers

This policy explains how we handle personal information when you visit luthen.ai, contact us or book a demo, and when your business uses our products.

When a business uses Shield, it decides what information Shield processes, such as supplier invoices and payment details. For that information we act on the business's instructions, as a processor or service provider, under our agreement with them.

Information we collect

Information you give us. Your name, work email, company, region and anything you tell us when you book a demo, email us or apply to partner with us.

Information from using our products. Account details for the people who sign in, and the business documents and records a customer chooses to process, such as bills, invoices, supplier details and approval decisions.

Information collected automatically. Basic technical information when you visit the site, such as your browser, device and the pages you view, kept in server logs to keep the site secure and working.

How we use it

• To reply to your enquiry and arrange a demo.
• To provide, secure and support our products for the businesses that use them.
• To keep an accurate record of every action in our products, so customers can audit them.
• To improve our website and services.
• To meet our legal obligations.

We don't sell personal information, and we don't use it for advertising.

Customer data and AI

Shield uses AI agents to read and process documents for the business that owns them. That business's data is used only to provide the service to that business. It is never used to train AI models, and it is never shared with other customers.

Who we share it with

We share personal information only with people who help us run our services, such as hosting, email and support providers, under contracts that require them to protect it and use it only for us. We may also share information when the law requires it, or to protect our rights and the safety of our customers.

International transfers

Our service providers may handle information outside your country. When that happens, we take reasonable steps to make sure it is protected to the standard required where you are, including contractual safeguards.

How we protect it

Information is encrypted in transit and at rest. Access is limited to the people and agents who need it, using the same permissions a customer sets for its own team, and every action is recorded in an audit trail.

How long we keep it

We keep enquiry details for as long as we're in contact, and customer data for as long as the customer's agreement requires. When information is no longer needed, we delete it or make it anonymous.

Your rights

You can ask to see the personal information we hold about you, correct it, or have it deleted. Depending on where you live, you may also be able to object to or restrict how we use it, and ask for a copy in a portable format.

If your information is in a customer's Shield account, we'll pass your request to that business, because they control it.

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Office of the Australian Information Commissioner, the Office of the Privacy Commissioner of Canada, or the UK Information Commissioner's Office.
